Equipment Rental Terms & Conditions

1. Rental Period & Ownership All frames, gold rings, wooden/acrylic arch panels, and support hardware are the sole property of Party Pop Langley and are provided on a rental basis only. The standard rental period is for the duration of your event (up to 24 hours) unless otherwise agreed upon in writing.

2. Rental Fees & Security

Fees: Rental fees for specific hardware are stated at checkout or on your final invoice.

Security: We reserve the right to hold a valid credit card on file or require a refundable security deposit for high-value equipment.

3. Delivery & Setup To ensure the safety of our equipment and the quality of the display, Party Pop Langley must perform the setup and teardown of all rental frames. Clients are strictly prohibited from moving, dismantling, or transporting rental hardware once it has been installed by our team.

4. Equipment Care & Customer Responsibility From the time of installation until the time of pickup, the client assumes full responsibility for the rental equipment.

Indoor/Outdoor Use: Rental items must be protected from extreme weather (heavy rain, high winds). If an outdoor event is cut short due to weather, the equipment must be moved to a secure, dry location.

Prohibited Items: Do not attach third-party signage, heavy floral arrangements, or adhesives (tape, glue) to the rental frames without prior approval, as these can damage the finish.

5. Damage, Loss, and Replacement Fees If the equipment is returned damaged, broken, or missing parts, the client will be billed for the full professional replacement cost.

Minor Damage: Scratches or stains requiring professional refinishing will incur a repair fee.

Total Loss: If a gold ring or arch panel is lost, stolen, or damaged beyond repair, a replacement fee (ranging from $150–$500+ depending on the item) will be charged immediately.

6. Pickup & Late Returns Equipment must be available for pickup at the venue at the time specified in your booking.

Access: The client must ensure our team has access to the venue for teardown.

Late Fees: If our team is unable to retrieve the equipment due to venue lockouts or client delays, a late fee of $50 per day will be applied until the items are recovered.

7. Liability Waiver Party Pop Langley is not liable for any injury, property damage, or accidents caused by the rental equipment while it is in the client’s possession. Once installed, the client is responsible for ensuring guests (especially children) do not climb on, pull, or lean against the frames.

Do I own the gold ring after the party? No, the ring is a professional-grade rental frame. We provide the balloons, but we take the ring back so we can keep our prices affordable for the next client!

What if a balloon pops on the frame? Please refer to our Balloon Care & Liability Policy. While we aren't responsible for pops after delivery, please do not attempt to fix the frame yourself.
